Job Title: Events and Marketing Manager
Status: Regular, exempt position
Reports to: Programs Director

We are hiring one Programs and Events Manager who will support the Bicycle Transportation Alliance’s Safe Routes to School Conference, Alice Awards and Auction and other events. This position begins September 2008 with an immediate focus on planning for the Safe Routes to School Conference and 2009 Alice Awards. After the Awards and Conference, the marketing responsibilities of this position will increase.
Upon hire this position will be in the Programs Department; the position may transition to the Development Department at the conclusion of the conference, or earlier. This position will work as part of a team and will rely heavily on support from Development, Programs and the Volunteer Coordinator.
The Safe Routes to School Conference will be held in Portland in August 2009 and will bring up to 600 attendees from around the country. In August of this year the BTA was awarded the contract to act as host agency for the conference in partnership with national and local agencies.
The Alice Awards and Auction is the BTA’s premier gala event. Our 2008 event held at the Oregon Convention Center was attended by almost 800 people. In 2009 we are scheduled to hold the event in March; the BTA hopes to continue to grow this event.
Job Duties
The Events and Marketing Manager will work as part of a team to:
SAFE ROUTES TO SCHOOL CONFERENCE
• Organize, perform and manage tasks necessary to meet the SRTS conference requirements as outlined by the conference contract.
• Coordinate with the local and national agencies by facilitating conference committee meetings.
• Select and coordinate with outside contractors to complete conference tasks.
• Prepare a post conference report to conference contract specifications.
• Manage fiscal requirements, accommodations and transportation planning, registration, logistics, marketing and promotions as specified in the conference contract.
• Coordinate and lead the agenda/program review committee for selection of speakers and workshops.
ALICE AWARDS AND AUCTION
• Manage solicitation of donations for the silent auction, ticket sales and sponsorships; may include data entry for ticket sales.
• Coordinate with Development on management of Alice raffle ticket sales, table sponsorships and seating arrangements.
• Coordinate with Finance on management of all sales, credit card and cash handling after the event.
• Organize and manage Alice event logistics and volunteer coordination.
• Attend the Alice event on March and assisting with set-up and clean-up.
MARKETING
• Provide marketing support to Programs and Development departments.
• Manage all organizational marketing and communications starting fall 2009.
Qualifications
Applicants for this position will have:
• Strong conference and events planning experience.
• Strong marketing skills.
• Strong fundraising skills including donor solicitations.
• Strong management skills.
• Comfort and ease in a range of professional environments including meeting and conference call facilitation.
• The ability to write clearly and fluently, manage many tasks at one time and meet deadlines.
• The ability to organize, train and support volunteers
• Data entry and web facility (experience with Filemaker a plus).
• Personal experience with and passion for bike commuting.
The ideal candidates will also possess:
• Sales experience or facility.
• Knowledge of Safe Routes to School programs.
